Unsubmitted

Approved time entries from previous weeks that have not yet been linked to an invoice, with tools to link or bill them.

Unsubmitted closes the loop between approval and billing. Despite the name, these are approved entries awaiting invoice linkage — leaving them here means delivered work is not yet turning into revenue.

Put it into practice

  1. Filter to the project or resource you are billing so you only link the right entries. Entries are linked per project, so mixing projects will not work.

  2. Select the entries to bill by ticking their checkboxes, or plan to invoice the whole filtered set.

  3. Open the invoice picker. Use the per-row Invoice button, or the toolbar Invoice selected / Invoice all button.

  4. In the 'Invoice entries' modal, either link to an existing invoice, or create a new T&M invoice by entering an optional Reference and clicking 'Create & link entries'.

  5. Confirm the entries left the Unsubmitted list and now appear on the target invoice. The empty state 'All caught up — no unsubmitted entries from previous weeks.' means nothing is left to bill.

Info message

Explains the page: 'These are approved entries that haven't been linked to an invoice yet. Go to the project, and link approved logged time.'

Invoice all / Invoice selected button

The toolbar bulk action, reading 'Invoice all (N)' by default and 'Invoice selected (N)' once rows are ticked.

Summary cards

Approved (hours + count), Billable (hours + %), Non-Bill. (non-billable hours), and Quoted hours (remaining vs used, single-resource only).

Team breakdown

A collapsible 'Team breakdown (N resources)' panel with Resource, Logged, Billable, and Allocated columns.

Filters and search

Resource dropdown (managers only), Billable dropdown (All / Billable only / Non-billable only), Clear button, and a search box ('Search by resource, project, task, or notes…').

Entries table

Columns: checkbox (managers), Date, Resource, Project, Task, Hours, Billable, Cost, Chargeout, Notes, Status, and an Actions column.

Invoice row action and modal

The per-row Invoice button opens the 'Invoice entries' modal showing 'Project: [name] · N entries selected', with a 'Link to existing invoice' section and a 'Create new T&M invoice' section (Reference field, 'Create & link entries' button, Cancel).

Guardrails

  • Entries are linked to an invoice per project, so you cannot combine entries from different projects onto one invoice from here.
  • Linking is a billing action; confirm the entries and project are correct before creating an invoice.
  • Only approved entries appear here — if billable time is missing, it may still be pending approval.
  • Only managers see the Resource filter, checkboxes, Actions column, and the invoice linkage controls.
  • Creating and linking invoices is a billing permission separate from logging or approving time.

If it starts drifting

  • If expected time is not listed, confirm it was approved (check the Pending approval tab) and that filters are cleared.
  • If the Invoice button does nothing, make sure at least one entry is selected for that project.
  • If entries from two projects will not combine, that is by design — bill each project separately.
  • If the list is empty, the 'All caught up' message means every approved entry is already billed.
