Client Invoice Review

The client-facing invoice review screen where a client can read the invoice, add notes, and download the invoice plus any supporting time and expense exports.

This screen gives the client a transparent view of what they are being billed, including optional line-level time and expense evidence, which reduces billing disputes.

Quick summary

  • Download the invoice PDF.
  • Download the supporting time-entry or expense CSV/Excel when provided.
  • Raise a query on the invoice via a note.

Put it into practice

  1. Review the invoice in the preview or open it in a new tab.

    InteractionsDocument Preview: embedded view or Open in new tab.
  2. Download the invoice, and the time/expense exports if the buttons are shown, for your records.

    InteractionsDocument Preview buttons: Download PDF, and any Time Entries / Expenses CSV/Excel.
  3. If you have a query, add a note instead of leaving it unresolved.

    InteractionsClient Notes: type in the textarea and click Submit Note.

What to review

Header

Shows 'Invoice #[ID]', Project, Status, 'Signed in as [email]', link/session expiry times, and a 'Back to Documents' link.

Client Notes

A note textarea, a 'Submit Note' button, and the list of previous notes with author and timestamp.

Document Preview and downloads

Embedded invoice preview with 'Open in new tab' and 'Download PDF'. When enabled, 'Time Entries CSV', 'Time Entries Excel', 'Expenses CSV', and 'Expenses Excel' buttons also appear.

Guardrails

  • Time-entry and expense export buttons only appear when the invoice is configured to show that supporting detail.
  • The document link and session can expire; a new sign-in link is then required.
  • The invoice is read-only in the portal — the client cannot change amounts.
  • Only the allowed client email with a valid token can open the invoice and its exports.
  • Whether supporting time/expense detail is shared is controlled by invoice settings internally.

If it starts drifting

  • If there are no time/expense download buttons, that detail was not enabled for this invoice.
  • If the PDF will not open, try Open in new tab or re-download it.
  • If access fails, the link or session has likely expired — request a fresh sign-in link.
