Client Quote Review

The client-facing quote review screen where a client can read, comment on, accept, and download a shared quote.

This is where a quote turns into a commitment. A client accepting here is the signal that confirms the quote for delivery and billing, so the accept action is deliberately prominent and explained.

Put it into practice

  1. Read the quote in the preview, or open it in a new tab / download the PDF for a closer look.

    InteractionsDocument Preview: use the embedded view, Open in new tab, or Download PDF.
  2. If something needs clarifying, add a note and submit it rather than accepting prematurely.

    InteractionsClient Notes: type in the textarea and click Submit Note.
  3. When ready, accept the quote. This confirms it for delivery and billing.

    InteractionsAccept Quote card: click ✓ Accept Quote.

What to review

Header

Shows 'Quote #[ID]', the Project, the Status, 'Signed in as [email]', any 'Document link expires' / 'Session expires' times, and a 'Back to Documents' link.

Accept Quote card

For draft/sent quotes a green card reads 'Ready to approve?' with 'Accepting confirms this quote for delivery and billing.' and a '✓ Accept Quote' button.

Client Notes

A note textarea (placeholder 'Add any questions or requested adjustments'), a 'Submit Note' button, and a list of previous notes with author email and timestamp ('No notes yet.' when empty).

Document Preview

An embedded preview of the quote with 'Open in new tab' and 'Download PDF' actions.

Guardrails

  • Accepting confirms the quote for delivery and billing, so it should only be done when the client truly agrees.
  • The Accept Quote card only appears while the quote is in Draft or Sent status.
  • The document link and session can expire, after which the client must sign in again.
  • Only the allowed client email with a valid token can open and accept the quote.
  • Acceptance is recorded against the signed-in client email for audit.

If it starts drifting

  • If there is no Accept button, the quote is likely already accepted or in a status that cannot be accepted.
  • If the preview will not load, use Open in new tab or Download PDF instead.
  • If the page says the link expired, return to sign-in for a fresh link.
